Dispatch Coordination

Dispatch coordination keeps your order moving on time, from sizing and packing through to delivery ahead of race day or a training block. We plan around event cut-offs, regional routes and stock requirements so clubs, organisers and individual runners get what they need when it matters.

Dispatch planning for races, clubs and training groups

Our dispatch coordination service is built for runners, race organisers and clubs that need orders to arrive on a set date, not just at some point during the week. We plan each shipment around the event calendar, the number of units required, and the delivery area, whether that is Stellenbosch, Cape Town, Johannesburg, Durban or George. For bulk orders we also factor in participant sizing, colour variants and any crew kits that must go out with the main event pack.

Orders are scheduled with care so they land before expo day, registration closing dates or the start of a training block. That means fewer last minute changes and less pressure on race week. In summer we watch coastal humidity and in winter we allow for slower road movement on wet routes, especially where loading bays and municipal access rules can affect handovers.

  • Timed dispatch against event deadlines
  • Route planning for metro and outlying areas
  • Bulk and repeat orders packed together where possible
  • Clear separation of club, crew and participant kits

What is included in the dispatch service

The service covers the practical work that sits between an approved order and a delivered parcel. We confirm the pack list, check sizes, group items by recipient or event, and prepare the order for handover. If the order includes hydration waist belts, we make sure the correct capacity and fit type are matched to the runner list. If the belts are going into a race pack insert, we coordinate the packing sequence so nothing is crushed or mixed up.

For event teams, we can align dispatch with courier collection times, venue delivery windows and staged drop offs for large fields. If your race takes place near a park, school or municipal venue with limited unloading time, we allow for that in the schedule. This reduces backtracking and keeps the handover neat and predictable.

  • Order checking and packing list confirmation
  • Participant sorting by size, colour or club
  • Courier handover preparation and labelling
  • Race pack insert coordination for event organisers

How the coordination process works

We keep the process simple and direct. First, you send the order details through the enquiry form on our contact page, including the delivery town, required date and number of runners. Next, we confirm the dispatch plan, taking into account stock availability, custom colour runs if needed, and any special handling for crew belt kits or event day support items. Once the plan is approved, we prepare the order and schedule release from our Stellenbosch base.

For larger shipments, we may split the order into batches so the earliest items move first and the balance follows on the agreed date. This helps when a race organiser needs some stock for early pack collection and the rest for late registrants. We also keep repeat order notes on file, which saves time for club seasons and recurring events across the Western Cape and beyond.

  1. Receive the order request and delivery deadline
  2. Confirm quantities, sizing and pack format
  3. Schedule preparation and dispatch window
  4. Hand over for delivery or collection tracking

Turnaround times and delivery windows

Turnaround depends on order size, custom requirements and the destination. Smaller orders that are already confirmed can often be prepared quickly, while larger club or event orders need more lead time for sorting and packing. As a working guide, local metro deliveries usually move faster than out of province runs, and event orders should be placed early enough to allow for checks, route timing and any courier delays.

For road race seasons and trail events, we recommend ordering well before final registration cut offs. That gives enough space for participant sizing, label checks and a proper dispatch slot. If your event is in Durban or George, or if you need a staggered delivery into Johannesburg, we will build in the extra time needed for transport planning. The point is to avoid rushed handovers and late arrivals that cause stress for organisers.

  • Local Western Cape orders can be scheduled tightly when stock is confirmed
  • National deliveries need more buffer for route planning and handover timing
  • Event packs should allow extra time before registration close
  • Repeat orders can often move faster once sizing and quantities are on record

Pricing approach and what affects the cost

Pricing is based on the order size, packing complexity, destination and any special coordination required. A simple batch of belts for one club is priced differently from a race event order with participant sorting, crew kits and staggered delivery points. We do not pad the process with unnecessary handling, and we keep the scope clear so you know what is included before dispatch starts.

The main factors that shape the cost are volume, urgency, custom colour requests and delivery region. If you need a same week turnaround for a race pack handover in Cape Town or a multi-stage delivery across Gauteng, that changes the planning time. For larger events, it is usually more cost-effective to combine items into one planned dispatch than to split them into several last minute runs.

  • Order volume and number of recipients
  • Special packing, sorting or race pack insert work
  • Delivery town and route complexity
  • Urgent timing versus standard scheduling

Keeping belts ready between events

Dispatch coordination does not stop once the boxes leave our side. We also advise on storage and maintenance intervals so belts arrive in good order and stay usable between runs. Waist belts should be kept dry, out of direct sun and away from heavy pressure in storage rooms or vehicle boots. In humid coastal areas, especially around Durban and parts of the Cape, we recommend checking elastic tension and buckle function more often if the belts are stored for long periods.

For race teams and clubs, a quick inspection before each event is worth doing. Check stitching, bottle hold points, zip closures where fitted, and any reflective or elastic parts that may have been affected by dust or repeated washing. A light clean after muddy trail use helps keep the belt in shape and ready for the next block. If you are managing crew kits or repeat event stock, we can build a maintenance and re-order schedule around your calendar.

  • Store in a dry place away from direct sun
  • Inspect before each race block or club outing
  • Rinse off mud and sweat after trail use
  • Review repeat order needs before the next season starts

Questions we get asked

How early should we place a race order?

As early as possible, especially if you need participant sizing, colour coordination or delivery before registration closes. Larger events should allow extra time for packing and route planning.

Can you coordinate multiple delivery points for one event?

Yes. We can split dispatch by venue, club, crew or collection point so the right belts reach the right people without confusion.

Do you handle repeat club orders?

Yes. We keep repeat order details on record, which makes seasonal club dispatches quicker and easier to schedule.
